1. Overview
Florida Dentistry Group is committed to providing exceptional care to every patient. Due to the nature of our physical dental services, returns are not applicable in the traditional retail sense. However, we do offer refunds or service adjustments under specific conditions where treatment outcomes do not meet reasonable expectations.
This policy is designed to be fair, transparent, and to protect both the patient and the practice.
2. Services Eligible for Refund or Adjustment
We will consider refunds or service corrections for the following:
- Failed or incomplete procedures due to clinical error
- Unsatisfactory outcomes directly related to a service delivered at our office (e.g., crown fell off prematurely, denture didn’t fit as expected)
- Billing errors or duplicate charges
- Cancellations with appropriate notice as outlined below
Refunds are not issued for:
- Patient dissatisfaction based on personal expectations unrelated to the quality or integrity of care
- Services already rendered in full with informed consent
- Delayed treatment due to lack of patient cooperation or follow-up
- Missed appointments or late cancellations without notice
3. Cancellation & No-Show Policy
- Standard Appointments must be canceled at least 24 hours in advance to avoid a fee.
- Specialty or High-Cost Procedures (implants, crowns, etc.) may require 48–72 hours advance cancellation due to resource allocation.
- Late cancellations or no-shows may incur a fee of up to $50 or loss of deposit (if applicable).
4. Refund Process & Timeframe
If your refund request is approved:
- Refunds are processed back to the original payment method (credit card, debit, cash, Alphaeon Credit, etc.).
- Please allow 7–10 business days for processing.
- For insurance-related refunds, timing may vary based on the provider’s disbursement procedures.
5. How to Initiate a Refund or Service Review
To request a refund, review, or correction of services:
- Contact us by email at [email protected] or call our office at [insert phone number if applicable] within 10 business days of your appointment.
- Please include:
- Your full name
- Date of service
- A description of the concern
- Any supporting documentation or photos (if applicable)
- Our office manager or clinical lead will respond within 3 business days to evaluate your request.
You may be asked to return for an evaluation before a resolution is provided.
6. Adjustments or Retreatments
In many cases, service adjustments or retreatments (e.g., refining a denture fit, crown polishing, additional cleaning) may be offered at no additional charge to resolve your concern, if it’s deemed clinically necessary and appropriate.
